WhatsApp is the most effective collections channel today, with open rates above 90%. The key, though, is tone and timing. Here are tested templates you can copy and use.
They are grouped into the three moments that make the difference in a collection: the preventive reminder before the due date, the payment-day message, and chasing an overdue balance. Replace the bracketed fields ([Name], [Amount], [Date]) with each customer’s real details before sending.
1.Preventive reminder (before the due date)
The aim is to remind them of the date politely so they can plan.
3 days before
Hi [Name], hope you are having a good week. ☀️ Just a reminder that your next installment of [Amount] is due this [Date]. I will keep an eye out for the receipt. Best.
Due tomorrow
Hi [Name]! 📅 A reminder that tomorrow, [Date], is the deadline for your payment of [Amount]. If you need the bank details again, just say. Thanks for keeping up to date!
2.On payment day
A direct but friendly message to prompt immediate action.
Due date
Good morning [Name]! 👋 Your loan installment of [Amount] is due today. Please send me the confirmation as soon as you pay so I can update your balance in the system. Thank you!
3.Chasing an overdue balance
Here the tone becomes a little more formal, while staying respectful so the relationship holds.
1–3 days late
Hi [Name], I do not have a record of your payment for the installment due on [Date]. 😟 Did something come up? Let me know when you can make it so we avoid late-payment interest. I will keep an eye out.
More than 5 days late
[Name], your payment is [X] days overdue. I would encourage you to settle [Total Amount] today to avoid a negative credit report and additional charges. There is still time to sort it out.
